Transferring Document Ownership

Reassign ownership of a document to another user in your organisation.

1. Introduction

Every document in Amplifi has one Owner. The Owner has full control over the document and its permissions.

There are two ways ownership can change hands:

  • The Owner transfers ownership to another user at any time.

  • An Admin reassigns ownership as part of deleting a user from Amplifi.

Both processes are covered in this article.


2. Transferring ownership as a document owner

As the Owner, you can transfer ownership of a document to any other user in your organisation, at any time.

  • The new owner does not need existing access to the document. Ownership and access are granted in the same action.

  • The transfer is immediate. The new owner does not need to accept it.

  • Once the transfer is complete, you are automatically given Editor access to the document.

  • You can transfer ownership to a user on any seat type, including a Review seat.

Where you can start a transfer

You can transfer ownership from three places in Amplifi:

  • During the upload process

  • From the content management page

  • From within the document editor

Steps to transfer ownership

  1. Open the document's permission settings.

  2. Search for the user you want to transfer ownership to.

  3. Select "Transfer Ownership."

  4. Confirm the transfer when prompted.

🔎 Transferring ownership is different to sharing a document. Sharing gives someone access. Transferring makes them the Owner, with full control over the document's permissions.

⛔️ Once you confirm a transfer, it takes effect immediately. Double check you've selected the right user before confirming.


3. Transferring ownership when deleting a user

Ownership cannot be transferred by an Admin at any other time. This flow only applies when an Admin is deleting a user from Amplifi.


If the user being deleted owns any documents, the Admin must reassign that content before the user can be deleted.


Steps to reassign ownership before deletion

  1. Navigate to Settings > Users.

  2. Select the user you want to delete.

  1. Review the list of documents owned by this user.

  2. Select one individual user to reassign all of this content to.

  1. Confirm the reassignment.

  2. Proceed with deleting the user.

⛔️ All of the deleted user's owned content goes to one individual user. You cannot split ownership across multiple people in this flow.

🔎 The new owner can only be a user on a Full, Editor, or Reporting seat. Review seat users cannot be assigned ownership through this flow.

Once the user is deleted, their account is permanently removed. They no longer hold any permissions on any document.
