Creating and Assigning Style guides

Group your targets, terms, and exclusions into a Style Guide, and assign it to specific content using categories.

1. What are Style Guides, and how do they use categories

A Style Guide is a named set of rules made up of your Targets, Terms, and Exclusions. It lets different teams work to different standards. For example, your marketing team could follow different targets and exclusions to your legal team.

Every Amplifi account starts with a Default Style Guide, assigned to "All content." Any document that doesn't match a more specific Style Guide will always fall back to this one.

To apply a different Style Guide to specific content, you assign it to one or more category values instead of "All content." This requires categories to already be set up in your account. If you haven't done this yet, see our Categories article first.

🔎 Only one category in your account can be used to assign Style Guides at a time. You'll choose which one in section 6 of this article.

2. Access and permissions

Access to this feature is restricted by your seat type and role.

Admins

Full access to create and manage Style Guides

Team members

View only

Full seat, Editor seat, Reporting seat

Full access with Admin permission

Review seat

3. Creating a Style Guide

To create a Style Guide, navigate to Content Governance.

  1. Select "New Style Guide" in the top right corner.

  2. Enter a name for the Style Guide.

  3. Select one or more values from the category used for assigning Style Guides.

  4. Select Confirm to save the Style Guide.

⛔️ A category value can only be assigned to one Style Guide at a time. Values already in use by another Style Guide will show as "(in use)" and can't be selected.

Once you've set up your targets, terms, and exclusions within the new Style Guide, they'll apply automatically to any content tagged with the category values you've assigned.

4. Duplicating a Style Guide

Duplicating a Style Guide copies its targets, terms, and exclusions, so you don't need to rebuild similar rules from scratch.

  1. Select the three dot menu on the Style Guide you want to duplicate.

  2. Select Duplicate.

  3. Since the original's assigned value is already in use, you'll need to choose a new one before you can continue.

  4. Select Confirm to create the duplicate.


5. Editing a Style Guide's assigned value

You can change which category value a Style Guide is assigned to at any time.

  1. Select the three dot menu on the Style Guide, then select Edit.

  2. Remove the current value and select a new one.

  3. Select Confirm.

⛔️ If the value you're changing already has content assigned to it, you'll be asked to confirm this action twice. First, a warning explains that any data and reports tied to the current value will be lost, and this can't be undone. Second, you'll need to type "YES" into a confirmation field before the change is saved.

6. Choosing which category assigns Style Guides

Only one category can be used to assign Style Guides at a time. You can change which category this is from Settings > Categories.

  1. Navigate to Settings > Categories.

  2. Select the category you want to use for assigning Style Guides.

  3. Toggle "Assign Style Guides" on.

⛔️ Switching this to a different category is a serious action. Every Style Guide currently assigned using the old category will become disabled, except the Default Style Guide, which is unaffected.

7. Disabled Style Guides

A Style Guide becomes disabled automatically if the category it depends on is no longer used for assigning Style Guides. This isn't something you can do manually, there's no option to disable a Style Guide on its own.

Opening a disabled Style Guide shows a banner confirming it's read-only. You can view its targets, terms, and exclusions, but you can't make changes until it's restored.

8. Restoring a disabled Style Guide

  1. Select the three dot menu on the disabled Style Guide, then select Restore.

  2. Review the Style Guide's name and assigned value.

  3. Select Confirm.

If the value it was previously assigned to is still free, it will show pre-filled, and you'll just need to confirm.

If the value is no longer available, for example if another Style Guide has since claimed it, you'll need to choose a new value before you can restore it.

9. Deleting a Style Guide

  1. Select the three dot menu on the Style Guide, then select Delete.

  2. Confirm you want to delete it.

⛔️ Deleting a Style Guide follows the same two-step warning as editing an assigned value. You'll need to confirm the warning, then type "YES" into a confirmation field before the Style Guide is permanently deleted.
